AI Disclosure Statement: SMP 365

Effective Date: 9 May 2026

This AI Disclosure Statement applies to AI-assisted functionality made available within SMP 365 software systems and services provided by SMP 365 SAAS Pty Ltd. This applies to all modules, including ICAM + AI Assisted Investigations, Incident Management, Risk Management, LMS, Contractor Management, Permit to Work, EMS, and Safety Mobile Applications.

1. Use of Artificial Intelligence Services

SMP 365 systems may utilize optional AI technologies and Microsoft Azure AI services, including Azure OpenAI, Azure AI Speech Services, Azure Document Intelligence, and Azure Cognitive Services.

These functions support:

  • Investigation and evidence analysis.

  • Transcription and summarization.

  • Operational insights and report drafting.

  • Workflow recommendations and corrective action suggestions.

2. AI Outputs Are Assistive Only

AI-generated outputs are intended solely as operational assistance tools. They:

  • Are assistive only and do not replace competent professional judgement.

  • Are not guaranteed to be accurate and may contain omissions.

  • May produce incomplete or incorrect interpretations.

  • May generate inconsistent results.

Mandatory Requirement: Human review, verification, and professional assessment are always required before relying on AI-generated outputs.

3. No Legal or Compliance Advice

AI-generated outputs do not constitute legal advice, regulatory advice, or compliance certification. Customers remain solely responsible for workplace safety decisions, investigation conclusions, permit approvals, and the verification of all outputs.

4. Customer Responsibility

Customers acknowledge that AI outputs must be independently reviewed. SMP 365 software is designed to support operational workflows and investigations, not to replace human decision-making or oversight.

5. Data Processing & AI Services

Where enabled, content and operational information may be processed using Microsoft Azure AI services configured within the customer environment. This includes transcription, document analysis, and language processing.

6. No Warranty for AI Outputs

To the maximum extent permitted by law, SMP 365 makes no warranty that AI-generated outputs will be accurate, complete, or error-free. All AI outputs should be treated as draft assistance material only.

7. Microsoft AI Services

Functionality relies on Microsoft Azure AI technologies. Availability and performance are subject to Microsoft service availability, customer configuration, and the quality of uploaded data.

8. Changes to This Statement

SMP 365 may update this AI Disclosure Statement periodically to reflect platform updates, legal requirements, or changes to Microsoft’s infrastructure.
